Purpose of the Role
Savills UK Ltd are seeking a detail-oriented and organised Mobilisation Administrator to join our small, close-working team. The successful candidate will provide essential administrative support to the Mobilisation Team, ensuring smooth transitions of commercial and residential properties into and out of our managed portfolio. This is a fast-paced role that requires adaptability and efficiency.
Key Responsibilities
Assist the Mobilisation Manager and Mobilisation Coordinators with administrative tasks related to mobilisation and de-mobilisation projects.
- Maintain and update project management software, trackers, and templates.
- Schedule and organise meetings, preparing agendas and taking minutes.
- Communicate with internal and external stakeholders to gather and distribute information.
- Ensure all documentation is accurately prepared, filed, and accessible.
- Support the setup of internal operational systems and migrations.
- Basic understanding of health and safety compliance documents.
- Assist with the transfer of utility information to appointed consultants.
- Help onboard new service partners and ensure continuity of maintenance services.
- Facilitate the off-boarding process for properties exiting management.
- Basic understanding of health and safety compliance documents.
- Identify and suggest improvements to administrative processes for greater efficiency
- Develop a good understanding of Savills Operational processes, systems, and departments
Skills, Knowledge and Experience
- Experience in an administrative role, preferably within property management.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint).
- Attention to detail and accuracy.
- Ability to work collaboratively in a team environment.
- Positive attitude and resilience under pressure.
- Adaptability to thrive in a fast-paced environment.
