Event Operations Coordinator - Battersea Power Station

Purpose of the Role
The Event Operations Coordinator is responsible for planning, coordinating, and executing various aspects of events & activations across the Battersea Power Station (BPS) Estate. This includes ensuring activities comply with site rules, governance of authorities, and health and safety regulations. The role involves managing logistics, reviewing technical documents, and fostering strong relationships with service partners, contractors, and clients to ensure events are delivered to the highest standard.
Key Responsibilities
Role & Responsibilities
- Support (and where required, lead on) the delivery of events, activations, installations, filming, and other such activity across the communal areas and public realm of the BPS Estate.
- Commitment to upholding the Battersea Power Station brand & expected levels of customer facing presentation across the public realm.
- Ensure all activity is delivered in line with the BPS site rules and governance of authorities (local authority, HSE).
- Review and coordinate event-related contractor Risk Assessment Method Statements (RAMs) and supporting technical documents with a solution-focused approach.
- Coordinate logistics, including contractor and service partner management, setup/breakdown schedules, equipment rental, project cost reconciliation, and billing.
- Build and maintain strong relationships with BPS Service partners, BPSDC client team and their associated agencies, commercial clients, and contractors.
Event Planning and Coordination
- Collaborate with clients and internal teams to understand event objectives, timelines, and requirements.
- Develop and manage detailed event schedules and action plans.
- Assist with site selection, layout planning, and logistical arrangements.
Vendor and Stakeholder Management
- Liaise with vendors, suppliers, and contractors to confirm bookings, deliveries, and services.
- Negotiate contracts and ensure service level agreements are met.
- Maintain effective communication with stakeholders throughout the event lifecycle.
Event Logistics
- Oversee the setup and breakdown of event spaces, ensuring all elements are delivered on time.
- Ensure compliance with health and safety regulations and risk management protocols.
- Troubleshoot on-site issues with a proactive and efficient approach.
Post-Event Activities
- Conduct post-event evaluations, gathering feedback to identify areas of improvement.
- Assist with financial reconciliation, including invoices and expense tracking.
- Prepare detailed post-event reports for stakeholders.

Skills, Knowledge and Experience
- Experience: 2-3 years of experience in event planning and operational
- coordination, or a similar role (preferred)
- Education: Degree in Event Management, Business Administration, or a related field

Skills:
- Knowledge of and proven experience working with technical event production elements such as temporary structures and scenic build, audio, digital screens, rigging, weight loadings, event power, H&S.
- Excellent organizational and multitasking abilities.
- Effective communication and interpersonal skills.
- Proficiency in event management software and Microsoft Office Suite.
- Familiarity with health and safety regulations, RAMs, and compliance procedures.
- Problem-solving and critical thinking under pressure.
- Attention to detail and time management skills.
- Experience delivering events and activations across the public realm.
- Thoroughness, accuracy and attention to detail.
- Account management and stakeholder liaison.
- IOSH (desirable) or The Creative Industries Safety Passport.
Working Hours - 9 – 5.30 Monday to Friday (flexibility for weekends and late working depending on events)
Salary - £45,000-£50,000
