Sustainability/Operations Assistant - The Dolphin Shopping Centre, Poole
An exciting opportunity has arisen for the right person.
Purpose of the Role
- Assist the Operations Manager to ensure all H&S and Environmental legislative and the managing agent’s best practice procedures and systems are complied with.
- To organise tenant inspections and assist with fulfilling tenant statutory requirements.
- To assist Operations and Sustainability Projects
- Accumulate and report information towards site accreditations
- Assist in the management of empty units and landlord liability
- To oversee utilities and waste contracts
To ensure all clients sustainability platforms are updated and all relevant actions are carried out in a timely manner.
Key Responsibilities
- Assume the role of Duty Manager when rostered.
- To assist management of service contracts and contract management.
- Assist in all audit rectifications
- Continue with the operating of systems ISO14001, ESOS and EMS.
- Assist with insurer’s requirements are all complied with.
- Implementing sustainability initiatives and accreditations
- Social values monitoring and assisting with Impact Social value projects
- Tenant data gathering FRA/GRA
- Assist duct work cleaning certificates are up to date
- Regular site inspections
Contractor audits
Maintaining utility supplies and recording usage data
Waste recycling monitoring
- Ensure compliance with the managing agent’s Working Practices Manual where applicable.
- Any other duties reasonably requested by the Centre Manager & Operations Manager
Compliance
- Assist the Centre Manager in overseeing all aspects of Centre Health & Safety in accordance with the managing agent’s management systems and procedures ensuring the safety of all shoppers, employees, contractors and tenants.
- Ensure the centre complies with the managing agent’s policy on energy procurement and environmental management.
- Ensure that energy levels are managed effectively without compromising the quality of service provided to the centre’s shoppers or retailers.
- Supervise the activities of tenants’ and landlord’s contractors to ensure compliance with Health & Safety and centre rules and regulations.
- With the Operations Manager / Centre Manager, review the work performance of contractors to ensure standards are met, reporting to the managing agent’s Procurement team any failures to provide required standards of performance
Skills, Knowledge and Experience
- Strong organisational skills – ability to multi task and prioritise a busy and varied workload.
- Ability to work on own initiative, to listen and willingness to learn.
- Team player – maintain close working relationships with all other employees of the business to assist in the facilitation of projects.
- Ability to demonstrate utmost discretion when dealing with all sensitive and confidential information.
- Results and achievement orientated to high standards.
- Background working within a facilities/property/sustainability environment essential
- Ideally a recognised and certificated H&S qualification but minimum 1 year’s experience in a H&S focused environment.
- High standard administrative and IT skills (Word, Excel and PowerPoint).
- Good numeracy skills
- Strong customer relations skills, and ability to work and integrate in an already established team
- Be pro-active, logical and forward thinking and able to work on your ow
