Soft Services Coordinator - The Sidings, Waterloo Station

Purpose of the Role
The purpose of the role is to provide Soft Services management support to The Sidings, reporting to the Operations Manager and providing the highest levels of customer service to our internal and external stakeholders by providing and maintaining a central hub of relevant and accurate data.
Key Responsibilities
- To work alongside the Operations Manager and Operations Director in a support role, learning the key aspects of the FM role.
- Ensure that the day-to-day running of The Sidings is carried out effectively and efficiently and that the personnel working within The Sidings are discharging their duties and provide assistance where necessary.
- Ensure that all personnel complete duties to the highest standard and are well presented.
- Ensure that security operatives control delivery vehicular traffic in the loading bay.
- Control and re-order first aid kit supplies ensuring that there are sufficient staff on site to administer first aid, as and when needed.
- Maintain the emergency ‘Grab Bag’ and monthly checks of same.
- Monitor and maintain H&S Records in accordance with the frequency required by the site H&S manual and ensuring compliance with all statutory requirements, codes of practice and H&S requirements.
- Patrol the public areas on a regular/irregular basis throughout the day checking on cleanliness, maintenance, landscaping, security etc.
- Maintain overall control of the security operations, paying particular regards to incident response and customer care.
- Maintain overall control of the cleaning operations to ensure a consistent and high standard of cleaning throughout the scheme and back of house areas.
- Maintain overall control of the waste management systems in place ensuring effective waste management and controls.
- Ensure that daily checks are undertaken of the common areas within The Sidings and that all necessary remedial works are undertaken within a reasonable time period. Where remedial works are required immediately, the area in question must be cordoned off and made safe for all visitors and occupiers.
Public Relations & Liaison
- Establishing, developing and maintaining good relations / partnerships with various authorities and local agencies, notably:-
- Local authority (Lambeth Council)
- Emergency Services (British Transport Police, Police, Fire & Rescue Services, London Ambulance)
- Safer Southwark Partnership (SSP)
- Transport for London and Network Rail
- Internal businesses.
Promotions
- Ensure that all promotional activities are carried out with due care and attention to the H&S/welfare of their staff, customers and business occupiers.
Staff
- Working with all The Sidings management staff and service partners towards achievement of their goals.
- Ensure that both in-house staff and service partners are smart and well presented at all times.
Skills, Knowledge and Experience
Essential
- At least 2 years experience in an administration role
- General Education to GCSE standard with an A-C grade in English & Maths or equivalent standard
- Reliable, helpful and well presented.
- Ability to work in a team or alone
- Team player with strong customer service skills, able to provide a helpful and polite service.
- Pleasant telephone manner and efficiency in relaying messages and taking instructions.
- Excellent communication skills
- Able to take comprehensive minutes of meetings.
- Ability to deal with confidential information.
- Good organisational and time management skills with the ability to prioritise workload and multitask in a calm and professional manner.
- Able to work under pressure to deadlines.
- Careful and conscientious with an aptitude for attention to detail.
- Willingness and ability to learn on the job, keen to undertake training and career development.
Desirable
- Proficient in a full range of Microsoft applications inc. Word, Excel, PowerPoint, Access Outlook.
- Broad knowledge of office administration within a facilities management/property management environment.
- Experience of dealing with senior level staff confidently with excellent verbal and written communication.
- Experience and knowledge of helpdesk systems and procedures.
- Data input experience.
- Experience working within a Facilities Management team.
- Understanding of Health & Safety Legislation.
Working Hours - 37.5 hours per week but must include The Sidings core operating hours whilst adopting a flexible approach to working patterns in order to respond to the changing needs of a retail and leisure environment.
Salary - £32,000 - £35,000 depending on experience
