Purpose of the Role
Our H&S team specialise in all operational areas of compliance and risk management including Health & Safety, Environmental (HS&E), Fire Safety and Emergency Planning. The team also have specialist knowledge on public liability insurance and provide expert advice to our many clients and colleagues on all such matters.
Increasingly it is not the legal minimum that clients are requiring, but it is a sensible risk management strategy with clear leadership and engagement programmes. Our services, such as statutory compliance audits, gap analysis of current systems, and providing pragmatic solutions and risk assessments, all help drive down risk for stakeholders.
The purpose of this role is to be part of an administration team that provides an excellent level of customer service to internal and external stakeholders on all health and safety matters, from compliance to incident management. This role would ideally suit someone interested in starting a career in health and safety, as the operational knowledge you will gain in this role, will provide a great baseline understanding of a wide breadth of health and safety matters.
Key Responsibilities
Inbox and incident management
- Inbox management includes general HS&E queries, incident management and cover for the compliance and insurance inbox as required.
- Take responsibility for every query received and triage all incidents and queries that come through the inboxes in a timely manner by coming familiar with all HS&E policies and procedures and staying up to date with all the communications sent out by the Safety+ management team.
- Escalate queries and incidents to the H&S Advisor when further assistance is required.
- Any queries or incidents requiring urgent assistance to be escalated to the Safety+ management team immediately.
- Produce and maintain a tracker spreadsheet to improve visibility of all risk management email inboxes.
- Become the key person logging and dealing with all HS&E incidents, assist with initial desktop investigation and ensure adequate completion and close out of all incidents.
- Be able to produce summary and detailed reports to the Safety+ Management team to highlight problems areas where issues are failing to be resolved. This includes drafting senior reports for internal and external clients.
- Assist with taking minutes of key HS&E meetings that are chaired by senior members of the Safety+ team.
Compliance
- Assist with the production and updating of compliance reporting.
- Assist in updating compliance systems as required.
- Produce required KPI reports as per client requirement or the Safety + management team.
- Have full overview of outstanding actions and documents on the compliance systems and assist in communicating with site teams to ensure outstanding items are tracked to completion.
Training and Communications
- Undertake the Savills Pathway on relevant HS&E topics to gain knowledge and competency in the areas required to work in.
- Contribute towards the Safety + newsletter and highlight items for knowledge sharing through incident management.
Skills, Knowledge and Experience
- Must have the ability to multi-task and use own initiative.
- Excellent administration skills including planning and organisational skills.
- Excellent attention to detail along with the ability to draft reports (both word and PowerPoint style reports).
- Have a confident approach with excellent interpersonal, verbal and written communication skills.
- Energetic and self-motivated and used to working in a fast paced environment.
- Pro-active approach and takes ownership of responsibilities.
- Ability to work well under tight deadlines.
- Friendly and well presented with ability to be client facing.
- Have a “Can Do” attitude.
Working Hours - 9.00am – 17.30pm
