Receptionist (Part-Time) - Cathedral Square, Guildford

Purpose of the Role
The role of Receptionist is pivotal to the day-to-day success of the operation of the buildings as this person will be the first point of contact for tenants and visitors. The Receptionist will need to ensure that they build and maintain good relationships with tenants, contractors and the building management. The successful applicant will have experience of working in a reception, and be well practiced in dealing with people, both face-to-face, on the telephone and via email.
Key Responsibilities
Extend a warm welcome all tenants and visitors to the building.
Ensure that the telephone is answered in a timely and professional manner and transferred to the appropriate person or a message taken. Ensure that all calls are dealt with effectively and efficiently.
Deal with all ad hoc general enquiries.
Build and maintain relationships with tenants, contractors and the building management.
With Security, ensure that all visitors & contractors sign in and out of the property and that visitor’s passes are administered correctly.
Be alert to situations that may have an effect on the building’s tenants/visitors or the various services offered in association to the building.
Communicate situations effectively and efficiently to tenants/visitors/contractors to maximise benefit and minimise disruption.
Organise couriers and taxi’s as and when required for visitors and tenants.
Ensure that the reception desk is not left unattended at any time.
Assist with the creation and management of the building’s tenant employee data base.
Ensure incoming and outgoing post is dealt with in the correct manner.
Undertake ad hoc additional administrative duties such as filing, photocopying.
Assist with organisation and running of events.

Skills, Knowledge and Experience
Candidates will be required to demonstrate the following:
Essential
· A warm and welcoming disposition
· Communications skills
· IT literate
· Organisational skills
· Event organising, advertising, set up and running experience
· Observational skills
Desirable
· Ability to use full range of Microsoft applications especially Excel
Working Hours - A minimum of Two days per week either 08:00 to 17:00 or 09:00 to 18:00 depending on the Reception cover required. Available for holiday and short term sickness cover.
Salary - £!5.05/hour
