Cover Team Supervisor - Finsbury Circus House, London

Purpose of the Role
The Cover Team Supervisor plays a vital role in ensuring effective site cover and operational continuity across both the Residential and Commercial portfolios.
Reporting directly to the Cover Team Manager, the Supervisor is responsible for scheduling, rota planning and coordination, onboarding and training of new team members, overseeing recruitment, managing HR and compliance processes, maintaining accurate documentation, and tracking holidays for all cover staff.
The Supervisor works 4 days out of 5 during Monday to Friday (06:00–16:30). Although this is a mainly Mo – Fri, office hours role, a degree of flexibility is required to meet occasional operationals need of the cover team working 24/7.
You will be formally based at our offices in 15 Finsbury Circus, however, the role is highly mobile to allow a blend of working locations between office attendance, site visits, team member meetings, and working from home during the first few hours of the day.
This role requires a high level of organisation, autonomy, and attention to detail to ensure seamless service delivery.
Key Responsibilities
Management & Operations
- Lead by example and represent the FOH+ service in a professional manner at all times.
- Lead cover rota planning and site allocation for all Residential and Commercial sites.
- Manage team presentation, uniform compliance, and service conduct across all cover team members.
- Manage onboarding, including welcome packs, document collection, and H&S compliance.
- Conduct return-to-work interviews and manage sickness records in line with absence policy.
- Oversee the training journey for new and existing cover team members.
- Escalate risks or HR concerns to the Cover Team Manager.
Customer Journey
- Ensure client satisfaction across sites through regular team communication and service checks.
- Promote service improvements and capture innovation ideas from team members.
- Support and encourage engagement during site-based events and pop-ups.
- Support sustainability initiatives within daily operations.
- Contribute to tender responses or site presentations as needed.
Front of House Operations
- Plan and allocate daily and weekly rota cover for Residential and Commercial sites.
- Manage last-minute absence responses and site allocation from 6:00am start.
- Liaise with agency providers when needed and ensure in-house standards are upheld.
- Track holidays and manage requests to ensure business continuity.
- Toolboxes completion and maintaining compliance with SOPs.
- Conduct site visits, risk assessments, and ensure documentation is signed and stored.
Personal Productivity & Communication
- Maintain effective communication with, Ops managers, building management teams and the wider Savills function.
- Manage own workload efficiently and escalate issues to the Cover Team Manager.
- Document and follow up on key team milestones, such as probation and training.
- Facilitate clear and proactive dialogue with staff.
Collaboration
- Assist with recruitment including interview support and feedback.
- Deliver or support inductions and probation tracking.
- Lead appraisals, performance discussions, and development plans.
- Monitor and track mandatory training (MyLearning, SIA, First Aid, etc.).
- Cover duties of the counterpart supervisor during annual leave.
Skills, Knowledge and Experience
- Proven experience supervising or leading frontline teams.
- Strong knowledge of Front of House service operations and presentation standards.
- Familiarity with rota planning and scheduling tools such as Timegate.
- Good working knowledge of HR processes including onboarding, probation, and absence management.
- Strong organisational skills and attention to detail.
- Excellent verbal and written communication skills.
- Competent with Microsoft Office and internal systems
- Able to remain calm and solution-focused under pressure.
- SIA and IOSH Managing Safely qualifications preferred/
- A professional, proactive, and people-focused attitude at all times.
Working Hours - 4 days out of Mo – Fri, 06:00–16:30
