Business Support Assistant – Post Room Operative - CAMPUS Reading International

Purpose of the Role
The Post Room Operative’s main role is to take responsibility for effective running of the post room/loading bay at Campus Reading International. The role holder will ensure all incoming and outgoing parcels are logged through the post room management tool and occupiers are communicated with effectively. The role holder will also be required, from time to time, to provide support to the site management team with other tasks. The Post Room Operative will have the opportunity to work alongside the site management team to ensure the building is operating to RISE standards.
Key Responsibilities
The main purpose of the role is to efficiently run and maintain an organised loading bay/post room, providing assistance to all delivery drivers who are delivering or collecting items from Campus. The Post Room Operative will maintain a smooth operation with the handling of parcels and communicating with occupiers.
· To work closely with the Operations Manager, occupiers and all other employed staff and service providers within the site, ensuring that the highest standards at the property are maintained at all times.
· To ensure detailed handover notes are written and made available when required.
· Ensure all post room records (Contact list, scanning system instructions, Post room procedure) are up to date at all times. Highlight to the Operations manager any requirements for changes.
· To ensure all recorded deliveries are registered and signed for according to the site procedure.
· To respond to all incoming issues the same day even if a resolution cannot be found. To answer the phone in a professional manner.
· To diarise any work which needs regular attention in outlook and follow up accordingly.
· To ensure calendars are kept up to date with all meetings and appointments, utilising outlook or any other application as needed.
· To be proficient with the onsite handbook/procedures and associated documents relating to the site and refer to them as often as required.
· To complete all compulsory and allocated training in a timely manner.
· To be polite and personable to all tenants, visitors and contactors.
· To report breaches of H&S rules to the Operations Manager
· To receive deliveries on behalf of occupiers and communicate with the relevant tenants’ representatives.
· To carry out full Daily Check inspection for area under their responsibility
· To report any maintenance or breakdowns immediately to the site Help Desk.
· To report all incident/accidents to the site management team.
· To attend staff meetings and events when required.
· To comply with and ensure that the landlord obligation for health and safety and fire precautions are always met.
· To assist other employed staff, building occupiers, and visitors in the event of an emergency.
· To acquire working knowledge of the technical equipment in the property and be certain of
how to obtain prompt assistance with defect or malfunctions that may arise.
· The employee is not to undertake any task that may be a risk to their health and safety unless suitably trained.
· Personal appearance is to be of a very high standard at all times. Any uniforms provided must be kept in a laundered and well pressed condition at all times.
· To deal with all queries on site efficiently and professionally and as appropriate direct queries to third parties for action, ensuring the person raising the query is informed of the action taken, the expected outcome and the timeframe involved.
· To carry out any other duties as the line manager may from time to time consider necessary.
· Ensuring all doors and access points including shutters are secure
· Reporting any issues on the above to the building management on the same day as they arise and log an appropriate request with Campus Help Desk.
· Ensure area under their control is always presentable, clean and free of any hazards.
· The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by the business needs.
· Supporting with the set up of the conference event space where required by the Customer Experience Manager.
· Covering the Concierge on an ad hoc basis when required.
Skills, Knowledge and Experience
Skills
· Experience in the provision of loading bay/post room environment
· Ability to demonstrate excellent levels of customer service at all times and be able to communicate well at all levels.
· Ability to work on own initiative and deal with demanding situations.
· Honest and reliable work ethic.
· Excellent organisational, interpersonal and communication skills.
· Willingness to adopt a flexible approach to work.
· Willingness to undertake additional training and career development.
· Well presented at all times
· Accurate record keeping with good attention to detail
Required
· At least 1 year’s experience working in a post room environment
Desirable
· Ability to use full range of Microsoft applications Inc. Word, Excel, PowerPoint, Outlook.
· Basic knowledge of H&S legislation.
· Fire Marshall training
· First Aid training
Working Hours - Monday – Friday 8:00am – 17:00
Salary - up to £28,000
