Business Support Assistant - CAMPUS Reading International, Reading

Purpose of the Role
The Business Support Assistant’s (BSA) main role is to support with facilities administration tasks within the building including supporting the helpdesk functionality, postroom/ loading bay and reception duties. The BSA will have the opportunity to work alongside the Technical Manager, Operations Manager and Customer Experience Manager to support with the administrative tasks to ensure the building is operating to RISE Platinum standard.
Key Responsibilities
The main purpose of the role is to provide full assistance to the site management team, including: Reception/Help Desk, Post Room/Loading Bay services and assist with the site administration duties.
- Work closely with the Savills site team to assist with administrative duties.
- Rotational work in the building with two days in the postroom/ loading bay and three days front of house with H&S checks.
- Work closely with the tenants and all other employed staff including service providers and contractors within the building and ensuring that the highest standards of the building are maintained at all times.
- Contribiute to smooth running of operations back of house; Post Room and Loading Bay.
- Contribiute to smooth running of operations front of house; Reception and Help Desk.
- Respond to all incoming issues via helpdesk and postroom accounts the same day, even if a resolution cannot be found.
- Diarise any work which needs regular attention in outlook and follow up accordingly.
- Ensure calendars are kept up to date with all meetings and appointments, utilising outlook or any other application as needed.
- Support the Customer Experience Manager with diary duties for all bookable spaces via the CAMPUS app.
- Be fully proficient with all the onsite processes/procedures and associated documents relating to the site and refer to them as often as required.
- Ensure all documentation under your control is up to date at all times.
- Provide excellent customer service to all occupiers, visitors and contractors.
- Fully comply with and ensure that the client’s and Savills’s obligation for health and safety and fire precautions are always met.
- Report all breaches of H&S rules to the H&S Advisor or Building Management Team.
- Carry out the H&S checks as per allocation.
- To assist other employed staff, building occupiers, and visitors in the event of an emergency.
- To report and manage the car park barrier in an event of an emergency.
- Personal appearance is to be of a very high standard at all times. Any uniforms provided must be kept in a laundered and well pressed condition at all times.
- Deal with all queries on site efficiently and professionally and as appropriate direct queries to third
- parties for action, ensuring the person raising the query is informed of the action taken, the expected
- outcome and the timeframe involved.
- Carry out any other duties as the line manager may from time to time consider necessary.

Skills, Knowledge and Experience
- Knowledge of Microsoft Office packages including excel and word.
- Proficient in English with good written communication
- Educated to A -level
- Excellent customer service skills with the ability to problem solve
- Attention to detail
- Ability to work as part of a team
Working Hours - Monday – Friday 8:00am – 17:00
Salary - £27k - £30k PA
